MINUTES OF THE FIRST ANNUAL GENERAL MEETING
HELD AT SOUTH RHINE CHURCH
ON SUNDAY 20 NOVEMBER 2011 AT 2.00PM
PRESENT: Lester Miller, Marion McEwin, Malcolm Kempe, John Shearer, John Rundle, Sara Miller, Anne Harkiss,

OPENING: The chairman, Lester Miller welcomed those present and
Ross Drew led with prayer.
CHAIRMAN’S REPORT:
The Chairman presented his report, which is attached to these minutes. Moved Lester Miller that the report be accepted. Seconded Marion McEwin. Carried
FINANCE REPORT
R Drew presented the Finance Report, which is attached to these minutes. Ross Drew moved that the report be adopted. Seconded Anne Harkiss. Carried
COMMITTEE ELECTION
- Moved Anne Harkiss; Seconded John Rundle that the two members due for retirement, have indicated their willingness to continue for a further term of three years, be re-elected.
Carried
- Ross Drew nominated the appointment of Judy Shearer to the committee. Seconded Sara Miller. Carried

Discussion on Reports
- John Rundle – Costs of setting up the Constitution. So far none, but not expected to be very much.
General Discussion
- John Shearer – Tree near the back of the Cemetery, left of central drive in the first row. Resolved to remove.
Lester Miller – possible purchase of mower.
John Shearer – possible usefulness of a line trimmer.
Resolved that the maintenance of the area was being quite well done at present and that we will monitor and review during the coming year.
Items identified for consideration at the next committee meeting.
Debris left from monumental mason.
- State and presentation of Ashes area.
- Stone for Commemorative Plaques.
- General tidy up.
The meeting closed at 3.15pm, followed by afternoon tea.

FIRST ANNUAL REPORT
Friends of the South Rhine Cemetery Society 20 November 2011
An inaugural meeting of “The Society” was held on 19 September 2010, where eighteen persons were present, with nine apologies. A committee of six was elected to organise the care and maintenance of the cemetery.
The committee has met three times being held at the church, the cemetery and lastly at the home of Anne and Ian Harkiss. The main focus has been upon moving towards incorporation of the Society. This has meant that we have spent some time preparing a draft constitution which our most capable Secretary, Ross Drew forwarded to the Uniting Church Property Office for their consideration and comment.
Our last meeting was held following the Uniting Church’s response, which was then followed by Ross and I meeting Dennis Wright from that office.
For the purpose of the meeting it is important to bring to your attention that part of this draft constitution headed “Objects and Purposes” which we believe would reflect your desire for the future of the cemetery.
3. OBJECTS AND PURPOSES
The objects and purposes of the Society shall be:
3.1 To provide management and maintenance of the SOUTH RHINE CEMETERY.
3.2 To protect and conserve the heritage of, and foster within the cemetery a pleasant environment for quiet reflection.
3.3 To accept any gift, endowment or bequest made to the Society, generally or for the purpose of any specific object, and to carry out any trusts attached to any gift, endowment or bequest, subject to agreement of the Committee.
3.4To do all such other things as may be incidental to the attainment of such objects and purposes.
We have discussed maintenance issues including trimming of some trees, replacement of gateposts and the installation of some seating.
I wrote to you in April of this year with a “News Update”, all of which I reiterate at this time. The committee felt that it was important to keep you informed of the happenings and future of the cemetery as you have indicated your interest in it. If we feel that there is sufficient new information we are likely to repeat the exercise next year,
I wish to thank you for your continued interest in the cemetery and my committee for their support and dedication to this very special place in all of our lives.
